What this policy covers

This policy explains how QuantumByte Technologies handles personal information collected through this website, the booking form, email, calls, and early project conversations.

It does not describe data that we process inside a client's systems while delivering work. That processing is governed by the applicable engagement agreement and any data processing terms agreed with that client.

The Client portal link on this site leads to a separate application at https://app.quantumbytetech.com/client. Portal activity may be covered by additional notices, account terms, or the agreement with your organisation.

Information we collect

Information you give us. The booking form asks for your name, email address, company or product name, project type, budget range, and project message. We also keep information you choose to share by email, on a call, or during project discussions.

Information from your organisation. If a colleague contacts us or adds you to a project conversation, we may receive your name, work contact details, role, and the information needed to respond.

Technical information. Our hosting and security providers may record standard request data such as IP address, browser and device details, request times, referring page, and the pages requested. This helps us deliver, protect, and troubleshoot the site.

We do not ask for payment details through this site. Please do not send passwords, private keys, health information, or other sensitive information through the booking form.

How we use information

We use it to reply to an enquiry, arrange a call, understand and scope a project, deliver work you have requested, send project or service communications, maintain business records, secure our systems, and meet legal or accounting obligations.

Where a privacy law requires a legal basis, the basis will depend on the context. It may be taking steps at your request, performing a contract, complying with a legal obligation, pursuing our legitimate interests in operating the business, or your consent where we ask for it.

We do not sell personal information or share it with third parties for their own marketing. We do not use this site to make decisions about people solely by automated means.

Who we share it with

We share information only where it is needed to operate the site or deliver the work. This can include hosting, infrastructure and security providers; the message and email tools that receive an enquiry; scheduling or project-management tools; professional advisers; and a person or organisation you ask us to involve.

Those providers may process information on our behalf under their own security and privacy obligations. We do not authorise them to use your enquiry for their own advertising. A current list of relevant providers is available by contacting us.

International processing

QuantumByte works with clients and service providers in multiple countries. If a provider processes information outside the country where you live, we take the transfer steps required by the privacy law that applies to the processing and the provider's service.

Contact us if you need the current locations or transfer details for a particular enquiry or engagement.

How long we keep it

We keep an enquiry while it is useful for responding, evaluating a possible engagement, or maintaining a reliable business record. If it does not turn into work, we remove it when it is no longer needed, subject to backups and legal obligations.

Records connected to an engagement are kept for the period required by the contract, our accounting and legal obligations, and the need to establish or defend a claim. We securely delete or anonymise information when those reasons end.

Your rights and choices

Depending on where you are and which law applies, you may be able to ask for access to, correction of, deletion of, or a copy of your personal information. You may also be able to object to or restrict a use, or withdraw consent where consent is the basis. Email [email protected] and we will assess and respond to the request.

We may need to verify your identity and may have to retain some information to comply with law, protect someone else's rights, or establish or defend a claim.

You can opt out of a non-essential update by replying to it and saying so. Service and project messages needed to deliver work are not marketing messages.

Questions and complaints

Please contact [email protected] first so we can understand and resolve the issue. If you are not satisfied, you may also have the right to complain to the privacy or data-protection regulator in the country where you live or where the relevant law applies.

Security

We use access controls, encryption in transit, least-privilege accounts, and provider security controls appropriate to the systems we operate. No internet service is perfectly secure. If we identify an incident that affects your information, we will handle it under the response process and notification requirements that apply.

Changes to this policy

We may update this policy as the site, our services, or applicable requirements change. We will update the date at the top of the page. Material changes will be communicated to active clients through an appropriate project or account channel.
